Schedule/Hours:  7 am to 6 pm MST, 40 hrs. a week, Pay: $14

Purpose and Scope of Position (concise statement of the general duties and responsibilities that make the job unique):

To process orders received from customers via email, fax, and mail into the ERP system for manufacturing, tracking and reporting

 

Key Responsibilities:

Process emails with Purchase Orders:  Functioning on a first in/first out basis, the order entry team will create new orders in the ERP system from emails sent to Snugz.  Attach email and all documents (Purchase Order, Artwork, Shipping Labels) to the order in the ERP system.  Order creation goal is within a 1-hour timeframe from receiving the email.

 

Order Entry:  Functioning on primarily a first in/first out basis, new orders are received in a queue in the ERP System.  Enter new orders with all manufacturing, pricing and discounts, artwork and shipping information.  Ability to prioritize, entering rush orders ahead of standard orders as required.  Notify customer via email when an order is missing information, placing the order on hold status until information is received.  Emails are pre-written using quickparts, hotkeys and email GUI system.  Order created to order entered goal is within a 2-hour timeframe.  

 

Email GUI System:  Become familiar with all menus and options in the email GUI system to ensure the proper communication is sent out to customers, i.e. Price Missing vs. Price Incorrect.  Send and receive emails from group emails or public folders.  Individual email is provided for internal communication and other business communication that is not order specific.  Individual emails should not be used to contact customers regarding orders.  Group email ensures all communication is in group inboxes and can be handled by the team when an individual is out of office or experiencing high workload.   

 

Interactions Tracking Internal and Customer.  The ERP System, Infor Syteline, features queues for entering customer and internal interactions that are tied back to the order.  These interactions are vital to see communication history from customers and company departments, i.e. Sales, Customer Service, Order Entry.  Interaction types include, reference notes, email communications, notes from phone conversations, obtaining missing PO information, order and art revisions, and art proof approvals.

Required Experience

1+ years' experience in Customer Service, Data Processing, Order Support, Client Relations

Desired Experience

High Proficiency in MS Office suite of applications

Infor Syteline ERP experience

Promotional products or printing industry experience

Language Requirements

Ability to read, write and speak English

Education and Training Requirements:

High School Diploma/GED required, some college coursework preferred

Physical Demands: 

Sitting for an extended period of time, typing, looking at computer monitors

Lifting up to 15 lbs., moving office chairs, etc.

Work Environment:

Typical office environment, open-concept space with partial cubicles, large desk space, dual monitors 

Professional License Requirements:  None

Other Requirements

Preferred Skills, Experience, Education/Training and/or Competencies

Familiarity with Adobe Illustrator, identifying vector art and potential art issues is a plus

High collaboration and courage to speak in a group, sharing thoughts, ideas, planning projects, etc.
